Progress Edu. is built around Tools. Tools are modular feature panels that are assigned to staff members by administrators/supervisors. The guides below detail the tools available in the application and how to use them.


Tool Access and Permissions

Access to tools is managed dynamically by your school's supervisors:

  • Access Levels: Staff can be granted Read access (viewing data and directory profiles) or Write access (enabling creation, modification, and deletion of records).
  • Scope Type: Permissions can be set to All (applies across the entire school) or restricted to specific Classes, Subjects, or Individuals (e.g., a teacher only sees subclasses they teach, or a Dean only sees forms in their assigned year group).

1. Mark Book

The Mark Book tool is the primary gradebook interface for teaching staff to manage student assessments and grades.

  • Assigned Subclasses: Upon opening the tool, you will see a list of subclasses you teach in the open academic session.
  • Assessments Management:
    • Click on a subclass, then go to the Assessments tab.
    • Click Add Assessment to create a new evaluation. You must specify the Title, Assessment Type, Max Mark, and Due Date.
    • You can edit or delete existing assessments from this view.
  • Entering Marks:
    • Click into a subclass to open the grading grid.
    • Enter student scores directly in the mark input fields.
    • Teacher Comments: Enter subject comments with expanded character limits (up to 100/120 characters) for each student outcome.
    • Status Flags: For students who did not complete the assessment under standard conditions, you can mark their status as Absent or Disqualified.
    • Averages & Benchmarks: The system automatically calculates student averages and subject class outcomes based on the entered marks. The class average is benchmarked against the broader cohort average directly on the desktop toolbar.

2. Roll Call

The Roll Call tool is used by teachers and form staff to take daily student attendance.

  • Select Form/Class: Select from your assigned home classes (forms) or subject classes.
  • Mark Attendance:
    • View the list of students for the selected class.
    • Record student attendance by toggling Lates and Absents for the day.
    • Attendance logs are saved instantly and update the student's report book metrics.

3. Session Review

Typically used by Deans, Form Supervisors, or Session Reviewers, the Session Review tool is used to finalize student report cards.

  • Reviewing Metrics: Select an assigned home class/form to view the list of students, their session averages, lates, absents, conduct, and deportment scores. The student details layout is fully unified and scrollable, detailing overall metrics, subject performance lists (with explicit session types like End of Term or Progress), and historical averages (sorted in reverse chronological order).
  • Edit Student Outcomes: Click on any subject outcome in the student's detail view to open the results editor. Reviewers with appropriate write access can modify subject marks and directly edit the Teacher Comments field.
  • Dean's Comments: Click on an individual student to open their detailed report card draft and add/edit the final Dean's Comments.
  • Subject Allocation (Years 4 & 5): For Year 3 End-of-Term sessions, reviewers can assign upper-school subjects to students by clicking the Subject Allocation action icon in the student detail header and selecting assigned subject choices.
  • Release Report Books: Once reviews are complete, click the release button for your year groups. This toggles the Released status, enabling access in the student/guardian Report Book tools. Releasing report books will automatically trigger an email notification to all registered guardians of the affected students, alerting them that their child's academic reports are ready for review.

4. Subject Review

Used by Heads of Department (HODs) and subject leads to monitor academic metrics.

  • View Subject Statistics: Analyze average marks, letter grade distributions, and performance trends across different year groups and classes for specific subjects.
  • Compare Classes & Benchmarks: Compare grade results between class sections to ensure evaluation standards are consistent, and view class averages benchmarked against overall cohort averages.
  • Teacher History: View historical subjects taught by teachers across previous terms and academic sessions.
  • Drill Down to Class & Student Details: Click on any class in the stats table to view a dedicated class performance page. This page displays class-specific metrics (marked count, pass rate, excel rate, and teacher name) along with a detailed list of all enrolled students, including their overall mark, completion status (Finalized/Pending), attendance history (lates/absents), and specific teacher comments.

5. Student Manager

The Student Manager tool is used by administrators and deans to manage the student enrollment directory.

  • Directory Search & Past Students: Search active student profiles by name, class, or email. Switch to the Past Students filter chip to search un-enrolled/historical student records by name.
  • Onboarding Students: Click Create Student to add a new student profile.
  • Student Profiles & Email Updates: Edit student details—including updating registered email addresses—and manage Guardian Details (relations, contact phone, and emails).
  • Student Records & Incidents: Log behavioral incidents and student record notes with precise date and time-of-day selection. Creator details (setBy) are stored automatically.
  • Academic History: View previous session reports, historical grades, averages, and attendance history.
  • Class Assignments: Manage home class and subject class enrollments.
  • Release/Delete: Release students from active sessions or delete outdated/incorrect student profiles.

6. Staff Manager

Used by school administrators to manage user accounts for teachers and school staff.

  • Create Staff Profiles: Add new staff members with their name, email, and honorific.
  • Account Status (Active / Inactive): Toggle staff account status between Active and Inactive. Deactivated staff are visually tagged with an "Inactive" status badge. Filter the directory using the Active and Inactive filter chips.
  • Teaching Status: Toggle the Teaching flag. Turning this on enables the staff member to be assigned as a teacher for subject classes and roll calls.
  • Credential Management: Reset passwords or manage credentials for staff login.

7. Session Manager

The central administration tool to set up and manage academic terms.

  • Create Sessions: Configure new academic terms (inputting Year, Term, Evaluation number, start/end dates, and session type like Progress or EOT).
  • Manage Sessions: Set session status to Open, Closed, or Pending.
  • Class & Subject Mapping: Set up home classes, subjects, and map teachers to subject classes for the term.
  • Session Rollover: Perform the term rollover utility to promote students to new year groups and roll over relevant records.

8. Supervisions

Used to log and coordinate class coverage and supervision duties.

  • Supervision Assignments: View schedules and classes requiring coverage.
  • Duty Logs: Track active supervisions and log coverage sessions.

9. Tool Manager

Used by school supervisors to control tool access across the staff directory.

  • Manage Tool Settings: Add or configure tool definitions.
  • Assign Tools to Staff: Assign specific tools to staff profiles, defining the precise Access Level (Read/Write) and Scope (which classes or subjects they can access).

10. Student List

The Student List tool allows staff to generate, filter, and export custom student rosters for administrative use or school events.

  • Roster Selection: Select students by Home Class, Subject Class, or perform a custom name search across all open sessions.
  • CSV Export: Click the download icon in the top toolbar to export selected student rosters directly as a CSV spreadsheet.

11. System Status Alerts (System Settings)

Supervisors with administrative capabilities (users with access to the Tool Manager) can manage global system announcements:

  • Configure Alerts: Go to the Settings screen (accessible via the user profile menu/global navigation).
  • Toggle Banner: Check or uncheck Enable Status Alert Banner to turn the banner on or off.
  • Set Message: Edit the Alert Message text field to describe current scheduled maintenance, outages, or important school-wide notices.
  • Save: Click Save Alert Settings. Once saved, the alert banner will display immediately at the top of the Sign-In screen and the Home screen for all users.
